Do we make a contract if the amount is very small?
- If the amount is less than 5,000 you may proceed with a work order instead of the multi-page subcontractor agreement.
- It is also possible to proceed without any contract as long as the names of both parties, scope of work, fees, and payment terms have clearly been agreed to in an email. Please contact the head of operations if you would like to proceed in this manner.
Do we have to make an appendix if the subcontractor still has some days left in his contract but the end date has passed?
- If the contract has expired but there are days and work remaining in the expired contract, an amendment to the original appendix should be made (not a new appendix!). The amendment can extend the dates of the agreement according to the direction of the project lead. There will be a systemetized process for this soon, but in the meantime contact the Head of Operations to create an amendment.
If the subcontractor has worked more days than in his subcontract, and we have to make an appendix for a new phase of the project, how many days do we put in his appendix: only the last phase project, or these days + what was worked and not contracted before?
- It is primarily the subcontractor's responsibility to track their time and contact the project lead if it seems that they will require more time than contracted to complete the original scope of work. Sonder is not responsible for paying for work that was not contracted.
- That said, from time to time additional days are worked with the knowledge and approval of the project lead. In this case, the appendix should definitely include the uncontracted days worked as well as the days for the new phase of the project. The agreement should be backdated to the date that the subcontractor exceeded their original agreement.
